PRIVACY POLICY

  1. INTRODUCTION

Vets Town Hall Corporation (together with any affiliates, “VTH”, “us”, “our”, and “we”) respect your privacy and are committed to protecting it. This privacy policy (“Privacy Policy”) describes how we collect, use, and disclose personal information we receive through our website (www.vetstownhall.org) and any related online or offline services that we may offer (collectively, the “Services”). This policy also describes your choices about the collection and use of your information. 

Please read this Privacy Policy carefully before you start to use our Services. By using the Services, you agree to be bound and abide by our posted Terms of Use (“Terms”), which incorporate this Privacy Policy by reference. If you do not agree to both the Terms and our Privacy Policy, or if you violate them in any way, your right to access or use the Services is terminated. Please see Sections 9-12 of our Terms regarding your legal rights in any dispute involving our Services.

  1. HOW WE COLLECT INFORMATION

When we refer to “personal information” we generally mean any data that is or reasonably can be associated with you. Examples include your full name, postal address, email address, telephone number, as well as your IP address or unique device identifier. 

We may collect such information about you by various means, including:

  • Directly from you, both online (e.g., our Services) and offline (e.g., at events);
  • From other third-party sources and social media platforms that you may use to engage with us, as well as from partners or third parties we work with, to supplement information we already possess; and
  • By combining information from different sources, including online and offline data.

If you provide us with information regarding another individual, you represent that you have that person’s consent to give us their information and to permit us to use the information in accordance with this policy.

  1. TYPE OF INFORMATION WE COLLECT 

Information we collect through our Services may include, but is not limited to:

  • Account and contact information such as your name, mailing address, e-mail address, phone number and profile preferences, which may include signing up to specific services or communications from us or selected third parties (as well as account information as described in our terms);
  • Contributed Content, as described in our Terms;
  • Transactional information including payment information and billing address, and a history of all transactions you have conducted through the Services (payments are submitted to, and processed by, reputable third-party providers in accordance with industry norms);
  • Other information you provide such as by filling in forms on our Services, uploading contact, when reporting a problem or issue to us, or by filling out survey information in response to questions we may send you through the Services, including for feedback and research purposes;
  • Communications between you and us, such as via email, online chat or other channels; and
  • Online User Activity as described in the next section.
  1. ONLINE USER ACTIVITY AND COOKIES 

Together with our service providers, we may collect certain information about your device and use of our Services by automated means, including but not limited to cookies, pixels and other similar technologies (“Online User Activity”). For example, a cookie is a file that may be placed on your device when using our Services to uniquely identify you or store information on your device for later retrieval. Cookies are very commonly used by websites and most browsers are configured by default to accept cookies. Cookies are commonly used to allow websites to store and retrieve certain information on a user’s system and track online activities. 

Cookies and these other technologies can help us automatically identify you when you return to our Services. Cookies help us review website traffic patterns, determine which portions of the Services are popular, and improve the website. We can also use such information to deliver customized content and advertising to users of the Services whose behavior indicates that they are interested in a particular subject area. When you use our Services, the information that we may collect by automated means includes, for example:

  • Usage details about your interaction with our Services (such as specific pages or content accessed during the visits, frequency of the visits, referring website addresses, account changes, interactions with other users or organizations, posting any content, and date/time associated with any of the foregoing activities);
  • Device information including the IP address and other details of a device that you use to connect with our Services (such as device type and unique device identifier, operating system, browser type, mobile network information, and the device’s telephone number); and
  • Location information where you choose to provide us with information about your device’s location.

Because there is not yet a consensus on how companies should respond to web browser-based do-not-track (“DNT”) mechanisms, we do not respond to web browser-based DNT signals at this time. 

  1. HOW WE USE INFORMATION WE COLLECT

We may use personal information we receive to:

  • Provide our Services to you, such as your use of our website, participation in our events and other activities, and communications with us;
  • Enable you to connect with and share your information, content or interests with others who use our Services;
  • Tailor the content or offers that we present to you through our Services and communications, including advertising, and offer opportunities and information that we believe may be of interest to you; 
  • Provide you with notices about our Services or administrative alerts (e.g., changes to our policies);
  • Operate, evaluate, and improve our Services, including to diagnose or fix technology problems;
  • Monitor the performance of our Services including metrics such as total number of visitors,
    traffic, and demographic patterns, as well as analyze and enhance our communications and strategies (including by identifying when emails sent to you have been received and read); and
  • Comply with and enforce as needed applicable legal requirements, industry standards, our policies, and our contractual rights.
  1. HOW WE SHARE INFORMATION 

We do not share personal information with organizations or individuals outside of VTH unless one of the following circumstances applies:

  • With your consent, we will share your information, such as in connection with events or activities (such as providing your information to local event organizers);
  • With our Service Providers, strictly as needed to perform technology, business, or other professional functions on our behalf—this can includes, for example, IT services, hosting our website, payment processors, event organizers, marketing partners and other vendors;
  • For legal reasons and other essential purposes, where we have a good-faith belief that access, use, preservation or disclosure of the information is reasonably necessary as required or permitted by law to: (i) comply with applicable law, regulation, legal process or enforceable governmental request; (ii) enforce our Terms, including investigation of potential violations; (iii) detect, prevent, or otherwise address fraud, security threats or technical issues; or (iv) protect against harm to the rights, property or safety of VTH, our employees or volunteers, business partners, users of our Services, or the public.
  • In connection with an organizational change, we may transfer information that we maintain in as part of the sale or transfer of all or a portion of our organization or assets, provided that in such circumstances we will make reasonable efforts to ensure your personal information continues to be maintained consistent with this Privacy Policy.
  1. YOUR PRIVACY CHOICES 

We offer you certain choices about what information we collect from you, how we use and disclose the information, and how we communicate with you:

  • Marketing emails you receive from VTH may include event announcements, promotional offers, alerts, surveys or other content, but you may choose not to receive such emails from us by clicking on the unsubscribe link in the marketing emails you receive from us or by contacting us as provided below. Please note that even if you opt out of receiving marketing emails, we may continue to send you non-marketing emails such as administrative or transaction alerts.
  • Cookies and other tracking technologies can generally be disabled by adjusting your browser settings, or the settings can be configured to alert you when cookies are being sent. If you disable or refuse cookies, please note that some parts of the Services may then be inaccessible or not function properly.

Please remember that there are limited or no privacy settings for certain types of information once shared with us (e.g., Contributed Content as described in our Terms).  Therefore, please be mindful of your privacy before sharing such information with us or others through the Services. 

  1. RETENTION OF PERSONAL INFORMATION 

We endeavor to only retain personal information for as long as necessary to fulfill the purposes we collect it for, including to provide the Services, engage in our VTH mission, satisfying any obligations to you, as required by law, and for other legitimate purposes permitted by law. As a matter of practice, we typically retain such information for an appropriate duration determined by considering the amount, nature and sensitivity of the information, the potential risk of harm from unauthorized use or disclosure of the information, the purposes for which we maintain the information, and whether we can achieve those purposes through other means.

  1. ONLINE ADVERTISING 

You may see us promoted by other organizations, on various websites, web pages, social media, and other platforms. Please note that we do not always have complete information about where our organization may be displayed or promoted, and if you believe that we are featured in venues that are inappropriate or offensive, please contact us via the contact information provided below.

We may serve advertisements, and allow third parties to serve advertisements, through our Services. Advertisements served through our Services may be targeted to users who fit a certain general profile category, which may be inferred from information that you provide to us or, based on your website usage patterns, or based on your activity on other websites or online services as may be available to the ad networks.

  1. THIRD PARTY LINKS

Our Services may contain links to other websites, apps or online services. This can include social media integrations. Please be aware that we are not responsible for the content or privacy practices of such other websites or apps, and we encourage you to be aware when you leave our Services and to read the privacy statements of any other website or app that collects personal information.

  1. MINORS

The Services are for a general audience and not intended for use by children under the age of 13 (“Minors”). We do not knowingly collect personal information from Minors through our online Services and will endeavor to delete such information if discovered. If you believe that a Minor provided personal information to us through our online Services, please contact as directed below and will endeavor to delete it.

  1. SERVICES CONTROLLED FROM UNITED STATES 

As described in our Terms, the Services are controlled and operated by us in the United States. Any personal information we receive in connection with the Services may be stored and processed in the United States, and may be transferred between the United States and other countries. If you access or use the Services from outside the United States, you do so recognizing that we are not subject to foreign laws or jurisdictions. 

  1. HOW WE PROTECT INFORMATION

We endeavor to maintain reasonable administrative, technical, and physical safeguards designed to protect the personal information that we maintain against accidental, unlawful, or unauthorized destruction, loss, alteration, access, disclosure, or use. However, we cannot ensure the security of any information that you transmit to us, or guarantee that this information will not be accessed, disclosed, altered, or destroyed. We will make any legally required disclosures in the event of any compromise of personal information. To the extent the law allows us to provide such notification via e-mail or conspicuous posting on the Services, you agree to accept notice in that form. 

  1. CHANGES TO THIS POLICY

As with our Terms, we may in our sole discretion modify, alter or otherwise update this Privacy Policy at any time, and access or use of the Services after we post updated Privacy Policy shall be deemed acceptance of those Privacy Policy, subject to any applicable legal obligations or restrictions.
